Terms of use

These Terms of Use ("Terms") govern the use of the Reconed platform, provided by ReconedPayments (Pty) Ltd (CIPC Registration 2026/595140/07, "Reconed", "we", "us", "our") by schools ("School", "you") that sign up to use the service.

By signing up for and using Reconed, a School agrees to these Terms. There is no separate signed contract required — signing up to the platform constitutes acceptance of these Terms.

1. The service

Reconed provides a white-label, branded fee payment portal for schools, allowing Schools to manage pupil fee accounts and allowing parents/guardians to view balances and make payments online via PayFast.

Each School operates on its own isolated instance of the platform, with its own branded domain and its own PayFast merchant account. Reconed does not hold, process, or have access to School funds — all payments go directly from parent to the School's own PayFast merchant account.

2. Signing up

There is no fixed-term contract. A School signs up to use Reconed on an ongoing, month-to-month basis under the pricing published at the time of signup (currently a once-off onboarding fee plus a monthly subscription fee).

3. Fees and payment

  • Fees are invoiced monthly and are due in accordance with the payment terms provided at signup.
  • We understand that delays in payment sometimes happen for administrative reasons (e.g. no one available in the school office) rather than an unwillingness to pay, and we account for this in how we handle late payment below.

4. Late or non-payment

If a monthly fee is not paid on time:

  • We will not suspend or restrict a School's access to the platform for 30 days from the due date.
  • School holiday periods do not count towards this 30-day period — if a due date or part of the 30-day window falls during official school holidays, that time is excluded and the countdown pauses until term resumes.
  • If payment is still outstanding after this grace period (excluding holidays), we may suspend access to the School's portal until payment is received. We will notify the School before doing so.
  • Continued non-payment beyond a reasonable further period may result in termination of service.

5. Cancellation

Either party may cancel the service at any time, with immediate effect, by notifying the other in writing (email is sufficient). There is no minimum term, lock-in period, or cancellation penalty.

6. Data export and deletion

  • A School may export its full data (pupil records, fee accounts, payment history) at any time while its account is active, and is encouraged to do so before or immediately upon cancellation.
  • Upon cancellation, we will retain the School's data for 3 months to allow time for export and any final reconciliation, after which it will be permanently deleted from our systems, except where we are legally required to retain certain records for longer (e.g. financial/tax records).

7. Service availability

Our infrastructure runs on servers hosted with domains.co.za, who provide a 99.9% uptime guarantee. While we rely on this underlying infrastructure commitment, Reconed does not separately guarantee a specific uptime percentage beyond what our hosting provider commits to. We take reasonable steps to keep the platform monitored and available, including automated monitoring and off-site backups.

8. Support

We aim to respond to support queries within 24 hours. Support requests can be submitted via info@reconed.co.za.

9. Responsibility for data

Schools are the responsible party under the Protection of Personal Information Act (POPIA) for pupil and parent personal information processed through Reconed. This means the School is responsible for having lawful grounds (e.g. parental consent or another lawful basis) to provide pupil and parent data to Reconed for processing. Reconed acts as an operator, processing this data only on the School's instruction and for the purpose of providing the service.

Schools are responsible for:

  • The accuracy of pupil and parent data uploaded to the platform
  • Ensuring appropriate consent or lawful basis exists for processing this data
  • Keeping their own login credentials secure

10. Payment processing

All card payments are processed directly through PayFast, a licensed South African payment gateway. Reconed does not collect, store, or have access to card numbers or payment credentials at any point. Disputes regarding a specific transaction (e.g. failed payment, refund) should be raised with Reconed, who will assist in liaising with PayFast where necessary, but the underlying payment relationship is between the parent and the School via PayFast.

11. Limitation of liability

To the maximum extent permitted by law:

  • Reconed's total liability to a School arising out of or in connection with the use of the platform is limited to the total fees paid by that School in the 3 months preceding the event giving rise to the claim.
  • Reconed is not liable for any indirect, incidental, special, or consequential loss or damage, including loss of revenue, loss of data, or reputational harm, arising from use of or inability to use the platform.
  • Nothing in these Terms limits liability for gross negligence, wilful misconduct, or any liability that cannot be excluded under South African law.

12. Changes to these terms

We may update these Terms from time to time. Where changes are material, we will make reasonable efforts to notify Schools in advance. Continued use of the platform after changes take effect constitutes acceptance of the updated Terms.

13. Governing law

These Terms are governed by the laws of the Republic of South Africa.
